Some of the common email migration scenarios include:
1. On-Premises to Cloud
Exchange Server → Microsoft 365 (Exchange Online)
One of the most common migrations. Can be done as cutover, staged, or hybrid migration.
Lotus Notes/Domino → Microsoft 365 or Google Workspace
Older enterprises often move from legacy IBM Notes systems to modern cloud platforms.
Zimbra, Kerio, or other IMAP servers → Google Workspace or Microsoft 365
These are IMAP-based systems where mailboxes are pulled into the new platform.
2. Cloud to Cloud
Google Workspace → Microsoft 365 (or vice versa)
Organizations sometimes switch ecosystems. Requires moving mail, calendar, contacts, and Drive/OneDrive files.
Tenant-to-tenant migrations within Microsoft 365
Common after mergers & acquisitions. E.g., Contoso.com tenant → Fabrikam.com tenant.
Consumer Gmail/Outlook.com → Enterprise accounts
For startups that start on free accounts but later move to a managed business platform.
3. On-Premises to On-Premises
Exchange Server → Newer Exchange Server
(e.g., Exchange 2013 → Exchange 2019) as organizations refresh hardware or OS.
Server consolidation
Multiple mail servers → single unified system
4. Protocol/Platform Changes
POP3 → IMAP or Exchange Online
Moving users away from legacy POP3 setups so that mail syncs across devices.
IMAP → Exchange
To support calendars, contacts, shared mailboxes, etc.
GroupWise → Exchange/Google Workspace
Migration from Novell GroupWise is still seen in some institutions.
5. Specialized Scenarios
Archival migrations
Moving email archives (PST files, Enterprise Vault, Mimecast, Proofpoint) into cloud platforms or centralized storage.
Hybrid / Coexistence setups
Running on-prem Exchange + Office 365 in parallel, gradually moving mailboxes.
Split-domain routing → unified domain
When users’ mailboxes are split between systems and need consolidation.
